Committee Representatives
Many independent schools are governed by a local Board of Directors who, in turn, appoint representatives to serve on the various committees of the Board (e.g. Promotion, Fund-Raising, Transportation, Education, Finance). The Board itself may be elected by members of the School Society.
A number of features within Overseer Admin could be of benefit to representatives of these committees who could be granted access to Overseer Admin directly, or may receive reports, export files etc. from the school office staff.
Tracking
Committee Members
The Committee entity type within Overseer could be used to track the active and historic members of the Board itself, as well as each school committee by name, role and term of service.
Tracking School
The Group entity type could be used to maintain an active group of all adult and/or family members of the School Society. From this group, current member lists may be printed, mailing labels may be readily printed, or export files may be created for the purpose of transferring core member information (name, address etc.) to other applications (e.g. Excel or Quattro Pro spreadsheets) via ASCII comma-delimited text files.
Prospect
Tracking
When the Promotion Committee is preparing for an open house, or for a promotional mailing to prospective families, detailed lists of known prospects will already be available within the database. A family address list, or family mailing labels may be generated for each division (e.g. by using the family filter “Families of prospects in division: Kindergarten”). Alternatively, a temporary group could be created called “Active Prospects”, all prospects could be automatically selected and placed in the group, then a family address list, or mailing labels, could be generated for all families of prospects using the filter “Families of children in group: Active Prospects”.
Fundraising
Mailings to families, adults and/or organizations within your support community can be sent selectively based upon their approved status for school mailings (i.e. no mail, essential mail only, include promotions, include fundraising). The choice of the correct constraints and filter can result in immediate printing of the appropriate mailing labels for the target audience.
Managing
Bus Routes
Bus routes, schedules, bus stop locations and detailed lists of students boarding and deboarding at each stop may all be maintained via Overseer Admin. Very useful reports are available to the Transportation Committee for each bus route.
Customizing
Report Cards
The Education Committee may use Overseer Reports to design custom report card templates for each division of the school. These can then be readily imported into Overseer Admin for immediate use by individual classes.
Tracking
Tuition Payments
Overseer does not directly support financial tracking of parental fee payments etc. However, it has a built-in export capability which will enable core family information to be exported to a comma-delimited ASCII text file periodically for subsequent import into a companion financial package. This avoids duplicate data entry into both applications, provided the financial application supports data imports.
