School Administration
Schools are dynamic institutions with a very challenging mandate to fulfill. Most parents have very high expectations for their children. Teachers and principals are highly motivated to make a positive impact on the children under their charge. But resources are limited and workloads are high.
School management software such as Overseer Admin can ease the administrative burden for the school office and teachers by centrally managing information on classes, students, teachers, families, bus routes and many other aspects of school operations. Information can be efficiently managed via a school database by a secretary and can then be made available to all staff, on demand, for shared use.
A secure, central database enables accurate information to be entered and maintained by authorized office staff only via user-friendly screens. Teachers can view information on their classes and students, but cannot edit it.
Overseer’s relational database enables information to be entered once, but accessed via several screens. This avoids redundant data entry associated with managing information via many independent documents generated by standard office suite software.
Students are enrolled once, then placed in a new class each school year until they leave or graduate. Information on classes, time-tables, bus routes etc. can be maintained independently for each school year. Teacher assignments may be managed independently for each session or portion thereof. Office staff may view or edit information for the current, previous or future sessions.
Two different options are provided for implementing centrally-designed report cards. The default option provided within Overseer Admin gives flexibility in defining subject areas and subject components, but prints report cards in a standard format. By using the Overseer Reports design utility, custom report cards may be designed and input via Overseer Admin. This option offers much more flexibility in the choice of design elements and the layout of report cards. Both options provide teachers with pre-designed templates for efficient data entry and printing of report cards via Overseer LAN.
Once classes, students, report card designs and teacher assignments are established within Overseer Admin by a school secretary, portable Grades databases can be created for each teacher, to enable them to track student work during each term via Overseer Grades. At the end of each term, each teacher’s weighted average marks and comments can then be imported automatically from the Grades databases into the school’s main database for final editing and printing of report cards by a secretary via Overseer Admin (or by teachers themselves via Overseer LAN ).
Prospects for future enrolment can be tracked so that they are not forgotten during the critical planning stage for the next school year. Maintenance of current information on the school’s support community ensures that promotional or fund-raising mailings go to the right families, individuals or organizations.
Easy-to-use utility functions are provided to simplify database maintenance tasks to minimize in-house support requirements. The main database is encrypted and access for all users is password protected. These and other security features minimize risk of data corruption.
Overseer Admin is the core application which, together with the teacher’s applications, can stimulate teamwork, standardize procedures and liberate your staff by streamlining and simplifying tasks which might previously have been done inconsistently or inefficiently.
